AI settings¶
This chapter explains what AI does in Flexbooks, who turns it on and what it sees. How to work with each feature is in the user manual, AI features.
What AI does¶
- recognizes scanned and photographed supplier invoices;
- answers questions about your data in the assistant panel, including in natural language;
- suggests a counterparty and account for bank statement lines;
- explains values and entries;
The anomaly check in the month-end close assistant works without a model.
What data each feature sends to the model provider is listed in the user manual, AI features.
Who turns AI on¶
The AI features stay off until an administrator of the installation (the person who runs the server) configures an AI model provider. The application itself has no AI settings page and no AI switch per database. Without a provider, the AI features answer that they are not configured. On the public demo, AI is off.
Invoice recognition (OCR)¶
The model reads a scan or photo of a supplier invoice (an image or PDF) and prepares a draft receipt. An upload is visible only to its uploader until it names an organization.
Quotas¶
The administrator of the installation can limit the daily and monthly number of requests, tokens and AI cost; there are no limits by default. The limits are the same for every database and counted per database.
When a limit is reached, the AI feature stops with an explanatory message until the period resets; the rest of the work is not affected.
Who may use AI, and what it sees¶
Every predefined profile may use the AI features: the role Basic rights (Базові права) gives the right. Every AI tool checks the user's read right on each object it touches and runs inside the user's organization scope: a member limited to some organizations gets nothing of the others through the assistant, the categorizer or the extractor.
