About Flexbooks¶
What is Flexbooks?
A modern accounting system for Ukraine: bank and cash, sales and purchases with tax invoices, warehouse, production, fixed assets, payroll, the month-end close, standard reports and regulated reporting. Built-in AI features help recognize invoices, answer questions about your data and explain entries. An overview is on the home page.
I have worked in 1C or BAS. Will I have to learn everything again?
Hardly. The sections and functions panels, document and report names, chart of accounts and keyboard shortcuts will be familiar to 1C and BAS users. Where things are is shown in Coming from 1C/BAS.
Which interface languages are there?
Ukrainian and English; switch the language in the top bar. Printed forms and regulated documents are printed in Ukrainian. This documentation is also available in Ukrainian.
Can I keep the books of several organizations?
Yes. One database can hold several own organizations; each numbers its documents and keeps its accounting policy separately, and a user can be restricted to some organizations. See Organizations and isolation.
Does Flexbooks file reports with the tax authority?
Flexbooks fills in the regulated reports from the books and prepares the files for M.E.Doc, SOTA, Vchasno and the Electronic Cabinet, and reads their receipts. Signing with a qualified electronic signature (КЕП) and the submission stay in the reporting system. The exchange formats have not yet been checked on a real reporting system and are awaiting an accountant's approval, so check the file in your own system before you submit it. See Reports.
Can I export a tax invoice for registration in ЄРПН?
Not yet. Flexbooks keeps tax invoices and VAT adjustments and applies their registration receipts, but the exchange file (J1201016 / J1201216) of a posted document cannot be exported. See Reporting exchange.
How are the regulated forms kept up to date?
Form versions, calculation rules and statutory parameters are kept in the compliance registry with their source and effective period. A report is computed with the form version in force in its period. New versions arrive with application updates. The registry's records are still awaiting an accountant's approval.
How much does Flexbooks cost, and how do I get it?
Flexbooks is distributed under the AGPL-3.0 license. Prices, how to get it, where data is hosted and contacts are not published on this site yet; they will appear here.
Migration from 1C¶
Which 1C configurations can I move from?
Any existing 1C:Enterprise or BAS configuration that produces the standard EnterpriseData (1C 8.x) or CommerceML 2 export. The migration is automated: the wizard analyzes the file, maps accounts and catalogs, transfers the data and reconciles the result with 1C. A ready mapping template exists for BAS Бухгалтерія; other configurations may need mapping adjustments. CommerceML carries only goods, offers and counterparties. See Migration from 1C.
Is the entry history transferred?
Yes, if you set a cut-over date: the 1C entries up to and including it are transferred "as is", and Flexbooks posts the documents after it. Without a cut-over date, catalogs, balances and documents are transferred.
Can I try it without changing the working database?
In part. Upload, analysis, mapping and preview change nothing in your data. Run writes straight into the working database and cannot be undone automatically, so back up first or try the export on a separate copy. See what is written, and when.
How do I know everything was transferred correctly?
The last step of the wizard reconciles the trial balance with the 1C export by account and by every analytical dimension. Every difference leads to the counterparty, contract or item and to the documents; a migration with differences can be approved only with an explicit confirmation.
About the demo¶
How do I sign in to the demo?
Open demo.flexbooks.ai and click the card of one of the demo accounts. Each has its own role: accountant, cashier, storekeeper, administrator and so on.
Where did my documents go?
Every night at 03:00 Kyiv time the demo returns to its initial data, and everything entered is erased. See Nightly reset.
Do other visitors see what I enter?
Yes: the demo is shared. Do not enter real data — no real invoices, personal data or 1C exports with real data.
Why does the AI assistant say AI is not configured?
AI is off on the public demo; everything else works as usual. Where whoever runs the server has configured a model provider, the assistant answers questions about your data and invoices can be recognized. See AI features.
Does my data go to an external model provider?
Only when AI is on and you use an AI feature: for example a scanned invoice, or a question to the assistant and the report data it read within your rights. The full list is in AI features.
Why can't I see a section or a command?
You see only what your access profile allows: the cashier does not see payroll, the storekeeper does not see the bank. Sign in with another role or as the Administrator. The rights of the profiles are described in the administrator guide.
Something stopped working around 03:00 — what should I do?
That is when the demo is reset. Wait a few minutes and sign in again.
